The Client is a digital procurement platform from Oman that helps businesses and suppliers manage the tendering process easily. Since its beginning, the company has sought to drive transparency, competitiveness, and efficiency in all ways of procurement functions. As a result, the Client's work has empowered organizations to digitize their sourcing function and promote SME development through innovative procurement automation aspects across multiple sectors as a whole since then.

Challenge

Operational and technical challenges that hindered efficiency and user experience:

Effectively operating a procurement system with 0.15 million records: The client had a procurement automation system that contained hundreds of thousands of records. The number of records created a challenge as the records were too large to handle without presentations lagging or extended query processing times. It was also important that the user be able to quickly find information without putting excessive load on the server, especially while implementing AI procurement solutions within their smart procurement processes.
Creating a complex n8n workflow with multiple node interactions: Seaflux created a complex n8n automation workflow that responded to multiple APIs and the internal systems of the organization. Each of the nodes had to functionally be set up correctly in order to move data in the manner desired and still allow everything to run.
Ensuring data security, as sensitive procurement data could not be processed through third-party servers: Given the confidential nature of procurement contracts and bids, the client could not rely on third-party servers for processing. This necessitated a solution that could guarantee complete data privacy and comply with internal security protocols as part of their AI procurement software and tender management strategy.
Reducing the time and complexity of building a custom chatbot, which traditionally takes 3–4 months to develop: Developing a chatbot with AI-powered responses usually involves months of design, training, and integration. N8N setup and workflow creation: Seaflux deployed n8n automation directly on the client’s server, eliminating the need for third-party processing and safeguarding sensitive data. The team configured complex workflows with multiple interconnected nodes and established a serverless environment, ensuring scalability and minimal operational overhead.
Batch processing for large datasets: To handle the enormous database efficiently, batch processing was implemented. This approach allowed the system to manage thousands of records at a time, significantly improving performance and reducing latency when fetching or updating data.
Drag-and-drop automation: Leveraging n8n workflow automation’s intuitive interface, APIs, and internal systems were connected with simple drag-and-drop actions. This streamlined workflow setup reduced manual coding and made chatbot creation faster, more flexible, and easier to maintain — a key enabler in the client’s procurement digital transformation process.
AI-powered responses: Seaflux integrated an AI agent and an OpenAI RAG system at the backend, along with WhatsApp chatbot integration.
