The project built an intelligent AI-powered chatbot for procurement automation using n8n workflow automation by streamlining processes and improving tender data access. Automation handled procurement queries with AI-powered retrieval, combined with WhatsApp integration for real-time information. Hosted on a secure backend with OpenAI, the solution ensured strict data security while enabling businesses to access procurement data. This was through conversational interfaces, resulting in greater efficiency, transparency and stronger engagement.

Client Overview

The client is a digital procurement platform based in Oman that helps organizations and suppliers manage the tender management system with greater transparency, competitiveness and efficiency. By digitizing procurement operations, it streamlines sourcing, improves supplier participation and supports SME development across industries. The platform leverages modern automation tools and a procurement chatbot to simplify tender management while ensuring governance and compliance, ultimately empowering organizations and strengthening procurement workflows.

Key Pain Points

Effectively operating a procurement system with over 150,000 records within a procurement automation software platform. This caused slow query responses and potential performance issues when accessing data.
Creating a complex n8n workflow automation setup with multiple node interactions, ensuring that APIs and internal systems communicated reliably without workflow failures.
Ensuring data security and compliance was essential. Sensitive procurement contracts and bid data could not be processed through third-party servers within the automated procurement system.
Reducing the development time of an AI procurement chatbot was critical. Traditionally, design, training and deployment take 3–4 months.

Our Solution

Secure n8n Deployment & Workflow Setup

Seaflux deployed n8n automation directly on the client’s server infrastructure, ensuring that all procurement data remained within the organization’s environment and securely integrated with the client’s procurement automation software. Multiple interconnected nodes were configured to automate procurement workflows and integrate with internal systems securely.

Batch Processing for Large Procurement Data

A batch-processing mechanism was implemented. It efficiently handled the client’s large dataset. The system processed thousands of records in controlled batches. Performance improved and query latency was reduced while supporting n8n workflow automation processes.

Drag-and-Drop Automation with n8n

Using n8n’s visual automation capabilities, APIs and internal procurement systems within the digital procurement platform were connected using drag-and-drop workflows. This significantly reduced manual coding while making the automation workflows easier to manage and scale.

AI-Powered Chatbot with OpenAI RAG

An AI agent powered by OpenAI and a RAG system was integrated into the AI procurement platform. It delivered accurate and context-aware responses. The chatbot was integrated with WhatsApp. This enabled users to instantly retrieve procurement data through chat-based interactions.
